CLARITY COMMS LTD (company number 15433445) is responsible for the personal information described in this notice. Our registered office is Le Scott House, Gordon Road, Waltham Abbey, Hertfordshire, United Kingdom, EN9 1AF.

For privacy questions or requests, email info@claritycomms.co.uk, call 0330 056 3000 or write to our registered office.

Information we collect

When you contact us, we receive the information you provide, which may include your name, company, email address, phone number, selected service and message. If you become a customer, we also keep information needed to deliver services, communicate with you and administer payments.

Our website and form-processing providers may process technical information, such as IP addresses and request information, to deliver and protect the website and prevent spam. Please do not include passwords or unnecessary sensitive information in your enquiry.

Why we use your information

We use your details to answer enquiries, prepare quotations, provide requested services and manage customer relationships. We do not use enquiry details for marketing.

Where you ask us to take steps towards a contract with you, or we provide services under that contract, we rely on contractual necessity. For general enquiries and communications with business contacts, we rely on our legitimate interests in responding to requests and running our business. We also process records where necessary to meet legal obligations, including tax and accounting requirements.

You choose whether to send an enquiry. We need sufficient contact and enquiry information to respond; without it, we may be unable to help.

Who processes your information

Website enquiries are handled by our website hosting and form-processing provider and emailed to our business mailbox, hosted through Microsoft 365. These service providers process information to operate the website, prevent spam, store submissions and deliver email. We may also disclose relevant information where required by law or necessary to establish, exercise or defend legal claims.

International processing

Our hosting, form-processing and email providers may process information outside the United Kingdom, including in the United States. Their data-processing terms provide for applicable transfer safeguards, such as approved contractual clauses and UK addenda, or recognised adequacy arrangements where applicable. Contact us for information about the providers and safeguards relevant to your information.

How long we keep information

We delete unsuccessful enquiries 30 days after our last contact. When a customer relationship ends, we normally delete routine contact and support information within 30 days, unless it remains necessary for outstanding services, warranty obligations or resolving disputes.

We retain invoices, payment and accounting records for six years from the end of the company financial year they relate to, or longer where legally required. We retain only the information needed for these purposes and securely delete it when it is no longer required.

Your rights

Depending on the circumstances, you can request access to your personal information, correction of inaccurate information, deletion, restriction of processing or transfer of information. You can object to processing based on legitimate interests. These rights have legal conditions and exceptions; for example, we may need to retain records required by tax law.

To make a request, email info@claritycomms.co.uk. We may need to verify your identity. We normally respond within one month, subject to any extensions permitted by law.

Complaints

Please contact us if you have concerns about how we handle your information. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

We may update this notice when our services or handling of personal information changes. The date above shows when it was last updated.
